Your course Documents area contains various important and useful documents, some of which are mandatory for course and/or training organizations.

You can access this area through the main dashboard of your selected course.

When creating your course, all documents must be configured.

Learnybox offers templates that can be customized as needed.

Document Configuration

During the document configuration process, the main area displays the content of the document. This area is pre-filled with text templates that you can customize, with your information displayed in yellow as variables. On the right side, you will find a list of variables that can be used when editing the content of your document.

When the document is exported, these variables will be automatically replaced by the appropriate values, which represent the information matching the variables you chose to use (related to course members or the course itself).

E.g. Certificate of Attendance

You can export or edit (reconfigure) any document you’ve already set up. To do so, go to your document list (in the course’s Documents tab), find a specific document and click on the vertical ellipsis (⋮) to the right of your chosen document. You can then edit or export the selected document.

The following documents can also be published in the member's course area (learning space):

  • Member Activity

  • Certificate of Achievement

  • Grade Report

  • Description Sheet

  • Course Program

E.g. For the Member Activity document, the publication option is available (Publish for members).

Exporting a document

When exporting a document, you can choose to export it for a specific course member, members of a certain course group or all course members.

For some documents, you will be asked to provide the course’s start date and end date before proceeding with the export.

These dates will be displayed through the [[DATE_START]] and [[DATE_END]] variables, which will also enable automatic calculations for the [[DURATION]] and [[PROGRESS]] variables. These represent the course’s duration and member progress rate (%) during the period between the specified start date and end date.

Finally, you can choose to export the document and/or send it to your selected member(s) by email. You can choose to perform both actions simultaneously or separately.
During the export process, you will also receive an email with a link to download the document.
Note: You will also find this document in the Export folder (in your Library).

List of available documents

  • Member Activity: Contains all the learner’s information regarding course activity data: login details, total connection time (login duration), progress rate (%), coaching, messages, completed evaluations, obtained scores and results.

  • Certificate of Attendance: Intended for course providers/training organizations. This document is for the trainee/learner’s employer, if learners take your training program/course as part of their job. It proves that the learner has followed the course program and attended its learning sessions.

  • Training Certificate: Issued at the end of the training program or course to certify and acknowledge that the learner/trainee has achieved their learning objectives.

  • Certificate of Achievement: This document must be configured with all the evaluations that count towards the successful completion of the course/training program (including the minimum expected score -> passing score). This document will only be available to learners once they’ve met the required conditions to successfully complete the training program/course (obtained passing scores on all evaluations).

  • Grade Report: Configurable with all the course/training program’s evaluations. This will generate a transcript of records for the learner.

  • Certificate of Completion: Intended for operating companies (OPCOs) to acknowledge and certify the successful completion of the course/training program and release payment for the service.

  • Training Contract: Mandatory for each learner when you represent a registered training organization. Issued when a learner takes the course as a private individual. The proposed model complies with regulations set by the French Regional Directorates for Economy, Employment, Labor and Solidarity (DREETS).

  • Training Agreement: Mandatory for each learner when you represent a registered training organization. Issued when a learner takes the course through their company. The agreement must be signed by the learner's company. The proposed model complies with regulations set by the French Regional Directorates for Economy, Employment, Labor and Solidarity (DREETS).

  • Course or Training Outline: An internal document filled out by the trainer. It links learning goals and objectives, teaching methods, learning tools, and evaluations. This document proves that learning objectives can and will be evaluated and helps fulfill multiple quality-certification indicators in the QUALIOPI certification standard.

  • Description Sheet: This document must include the course program and all information requested in indicator 1 of the QUALIOPI certification (quality standard). If filled out correctly and shared on your website (e.g. for each of your courses/training programs), it will meet all quality certification requirements set in indicator 1.

  • Individual Training Protocol (PIF, in French): Specifies how the training program/course will be carried out. It facilitates understanding and comprehension of the training action for learners, so they can know exactly what to expect during the training program. There are two documents:
    o Individual Training Protocol – Private: for learners taking the course as private individuals.
    o Individual Training Protocol – Company: for learners taking the course through their company. This is a three-part document to be signed by the company, the learner and the training organization (course provider).
