How to manually set a member’s password after they register for one or more courses

Learn how to choose the password you want to provide to your member without including it in the automatic course registration confirmation email.

This article explains how to manually set a member’s password after they enroll in one or more courses.

Use this method when you want to choose the password yourself and provide it separately rather than include it in the automatic course registration confirmation email.

You can also use this method to set a new password for a member who is having trouble accessing the email containing their login credentials. In this case, refer to Step 2 only.

Step 1 – Remove the login details from the course registration confirmation email

The email you need to edit depends on whether the member is enrolled in a single course or in multiple courses at the same time.

a) For registration in a single course

  1. Go to Academy → Courses

  2. Select the relevant course.

  3. Access the course's email settings:
Open the Settings tab, then open the Emails sub-tab.

  4. Expand the following section:
Email sent after new member registration

  5. In the email content, delete the section that includes the member's login credentials:

  6. Click Confirm changes to save and apply your changes.

b) For simultaneous registration in multiple courses

  1. Go to Academy → My Academy

  2. Click Edit Academy

  3. In the left-hand panel, open the General tab.

  4. Click Customize email in the welcome email section.

  5. In the email content, delete the section that includes the member's login credentials.

  6. Click Save to save and apply your changes.

The automatic email will still be sent to the member after they register, but it will no longer include their login credentials.

Step 2 – Set the password manually from the member’s user profile

  1. Go to Academy → Members

  2. Locate your course member, then click their name to open their user profile.

  3. Open the Info tab, then click Edit (to the right of General information)

  4. Toggle the Change password option on to reveal the password fields

  5. Enter the new password in the corresponding fields

⚠️ Important: After entering the new password, do not click Reset password. This link will discard the password you entered and send the member a password reset email instead.

  6. Scroll down and click Confirm (bottom right) to save the new password.

You can then share the new password you generated with the member so they can log in to their course area.

Important: Password requirements

When manually setting a password, make sure it includes at least:

  • 8 characters

  • 1 number

  • 1 uppercase letter

  • 1 special character (such as @, !, ?, #, $)

If the password does not meet the required criteria, it will not be accepted.

What this means for your member

The member will no longer receive their personal login details in the automatic email sent after course registration. You will need to share the new password with the member directly so they can log in to their course area.
