Understanding the Administrators & Roles menu

Learn how to manage who can access your Learnybox account and set specific account access permissions for each administrator role.


This article explains how to use the Administrators & Roles menu to add and manage account administrators, review their notification and security settings, and create custom roles with specific access permissions.


Access the Administrators and Roles menu

  1. Click your account profile icon in the upper-right corner of the page.

  2. Select Administrators & Roles.

You will be redirected to your account's administrator list.

Understand the administrator list

Each list entry represents an administrator user registered in your account.

The following information is displayed:

  • ID

  • First and last name

  • Email address

  • Role

  • Status

  • Email notifications

  • Two-factor authentication status

The Status column indicates whether the administrator’s account is active.. A deactivated administrator is unable to access your Learnybox account.

The Emails column indicates whether the administrator receives email notifications.

The 2FA column indicates whether two-factor authentication is enabled for the administrator’s account to secure their logins.

Add a new administrator

Click Add administrator in the upper-right corner of the page.

On the administrator creation page, complete the following required fields:

  • First name

  • Last name

  • Email

  • Role

The Automatically generated password option is enabled by default. Disable it when you want to set the administrator’s password manually.

Select Deactivated to create the administrator with an inactive account.

The Administrator configuration section also contains settings relating to:

  • email notifications

  • User avatar (profile picture)

  • Description (for blog article publishing)

  • Access to sensitive data and important account information


  • X and Facebook social media links

You can also choose to immediately send an email to the new administrator with their access credentials.

Click Confirm (bottom right) to create the administrator, or Cancel to leave the page without saving.

Edit or delete an administrator

In the administrator list, click the vertical ellipsis () to the right of the relevant administrator.

Three actions are available:

  • Edit: Opens the administrator’s settings.

  • Reset password: Automatically resets and emails a new password to the administrator.

  • Delete: Permanently deletes the administrator from your account.

Note: For the account's main administrator (i.e., the first account administrator generated after account creation), only the Edit action is available.

Understand roles

From the Administrators page, click Manage roles

The Roles page displays the predefined roles available in your account:

  • User

  • Editor

  • Coach

  • Administrator

These roles represent system-default roles, and they are not editable.

The Access column shows the features available to each role. Hover over an icon to view the corresponding feature name. Dark icons indicate granted access, while greyed-out icons indicate that access is not granted.

Add a role

Click Add role in the upper-right corner of the Roles page.

Name your new administrator role by entering a name in the Role name field, then enable the permissions you want to grant to the role.

Permissions are grouped into categories, including:

  • Dashboard

  • Applications

  • Plugins

  • Tools

  • Other

Each category includes a set of features and account sections that any administrator assigned the role will be able to access.

Examples:

  • Orders and invoices

  • CRM

  • Academy

  • Sales funnels

  • Website

  • Blog

  • Live webinars

  • Automated webinars

  • Offers

  • and more.
