How to create an evaluation

Learn how to create an evaluation to test your learners' knowledge and trigger actions based on their results.


This article explains how to create and configure an evaluation in Learnybox. Evaluations allow you to ask users questions, calculate their results, and trigger automatic actions based on the score they obtain.

You can use an evaluation to check learners’ understanding of content, qualify their profiles, or direct them through different paths according to their answers.


Step 1: Access Evaluations

  1. Go to Academy → Evaluations

  2. Click Create evaluation

Step 2: Set up main evaluation details

Fill out the main information fields for your evaluation. Only the Evaluation name field is required. It is used to identify the evaluation in Learnybox.

You can also configure the following:

  • Private title, visible to administrators only

  • Image

  • Primary color

  • Introduction text


The image and introduction text will appear on the evaluation registration page.

Once you have entered the information, click Save.

Step 3: Configure evaluation settings

In the Settings tab, select how participants will progress through the evaluation.

Four response types are available:

  • Type 1: Users can attempt each question multiple times, but cannot proceed until they have selected the correct answer.

    In practice, a participant who answers incorrectly must try again until they select the correct answer.

  • Type 2: Users can attempt each question multiple times and proceed after submitting an answer.

    In practice, a participant submits an answer and can continue to the next question regardless of whether their answer is correct or incorrect.

  • Type 3: Users can only attempt each question once.

    In practice, a participant submits an answer, then manually continues to the next question. They cannot change their answer after submitting it.

  • Type 4: Users can only attempt each question once and are automatically redirected to the next page after submitting an answer.

    In practice, a participant submits an answer and is immediately redirected to the next page. They cannot change their answer after submitting it.

You can also configure:

  • the number of times a user can take the evaluation

  • a time limit in hours and minutes

  • whether results are hidden on the final page

  • a start date

  • an end date

When you enter 0 for the number of attempts or the duration, the corresponding limit is displayed as Unlimited in the interface.

Step 4: Check your autoresponders

In the Autoresponders sub-tab, Learnybox displays the available email services and their current status.

Use this section to check whether the autoresponder you want to use is available for the evaluation and configure it when necessary.

With LearnyMail, you can enroll evaluation participants in specific email sequences, and/or assign them specific tags.

Step 5: Configure the information requested from users

In the Information sub-tab, select the information you want to collect from users when they sign up for the evaluation.

Available fields include:

  • Name

  • Address

  • City

  • Postal code

  • Phone number

  • Company

  • Profession

  • Country

For each field, you can select Required when users must provide the information.

When your evaluation does not require registration, you can set the evaluation as anonymous.

⚠️ Warning: The system will not be able to link evaluation participation and results to each corresponding participant's user profile if the evaluation is set as anonymous.

Otherwise, users must register by entering their first name and email address. Both these fields are required by default.

You can also add custom questions to collect additional information during registration and at the end of the evaluation. To add a custom question, click Add information in the corresponding section.

⚠️ Collecting and storing personal information through evaluations, quizzes, surveys, and forms may constitute personal-data processing. Make sure the information requested is necessary and that its collection complies with your terms of use and applicable data-protection requirements.

Step 6: Add questions

  1. Open the Questions tab

  2. Click Add question


Questions allow you to evaluate participants and collect their answers during the evaluation.

Step 7: Create calculations

  1. Open the Calculations tab

  2. Click Create calculation


Calculations determine participant scores. Those scores can then trigger automatic actions.
Note: Calculations can only be configured after adding questions to your evaluation.

Step 8: Create actions

  1. Open the Actions tab

  2. Click Create action

Actions allow you to define what should happen automatically according to the score obtained by each user.
Note: Actions can only be configured after configuring a calculation for your evaluation.

Step 9: Activate the evaluation

Once you have finished configuring the evaluation, click the On hold status at the top of the page and select Activate evaluation.

You can click View online at any time to preview the evaluation exactly as it will be displayed to participants.

What happens after you create the evaluation?

Once saved, the evaluation is created in Learnybox. You can manage your evaluation and its configuration through its main dashboard, using the following tabs:

  • Home

  • Questions

  • Calculations

  • Actions

  • Participants

  • Details

  • Results

  • Settings

As long as the evaluation has the On hold status, participants cannot access it. You must activate it before it becomes available.

FAQ

Can I move between sections without using the Next step button?

Yes. You can use the Next step button or open any section directly from the evaluation tabs.

What is the private title used for?

The private title helps you organize and identify your evaluations. It is visible only to administrators.

How do I activate an evaluation?

Click the On hold status at the top of the evaluation's dashboard, next to the evaluation name, then select the option to activate it.

Can I preview the evaluation before sharing it?

Yes. Click View online to preview the evaluation exactly as it will be displayed to participants.
