How to refund a transaction

Learn how to issue a full or partial refund for a transaction directly from your Learnybox account.


This article explains how to refund a transaction directly from your Learnybox account.

Use it when you want to issue a full or partial refund for a transaction paid through a supported payment method.


Supported payment methods for refunds

Refunds can be issued from Learnybox for transactions paid through the following payment methods:

  • LearnyPay

  • Stripe

  • Braintree

  • GoCardless

  • PayPlug

  • PayPal Checkout

⚠️ Refunds for standard PayPal transactions must be processed manually from your PayPal account. Learnybox does not support direct PayPal refunds from the platform.

To Issue a Refund

  1. Navigate to Sales Orders & invoices

  2. Open the Transactions tab

  3. Locate the transaction you wish to refund, then click the View icon to access the transaction details page.

  4. On the transaction details page, click Refund order.

  5. Enter the refund amount. You can issue a full or partial refund, and choose whether to deactivate the user linked to the transaction.
    Click Refund to confirm the action.

What happens after the refund?

The refund is issued automatically to the original payment method. The customer receives the refunded amount directly in their account.

Specific case: refunding the remaining amount after a partial refund

In some cases, you may have already issued a partial refund, then later decide to refund the remaining amount.

⚠️ After the first refund, the transaction status will change to Refunded. Because of this status, the Refund order button should no longer appear on the transaction details page.

To refund the remaining amount:

  1. Open the transaction details page.

  2. Edit the transaction status and set it back to Valid.

  3. Save your changes. The Refund order button should be available again in the transaction details page.

  4. Click Refund order.

  5. Enter only the remaining amount to refund.

  6. Confirm the refund.

  7. Once the refund is completed, manually update the transaction status back to Refunded.

This lets you issue the remaining refund from Learnybox while keeping the transaction status accurate once the operation is complete.

Use this workaround when the payment method supports multiple partial refunds and the remaining amount has not already been refunded.
