Understanding a user profile

Discover the information available in a user profile and the actions you can perform depending on the user's role.


This article explains the information and management options available in a user profile, whether the person is a member, coach, or administrator.

From the profile, you can view their personal information, track their activity, manage their courses and content access, review transactions and emails, and access other information depending on their role.


Accessing a user profile

  1. From your CRM, locate the user whose profile you want to open.

  2. Click the vertical ellipsis (⋮) to the right of their list entry, then select Open full profile.

The user profile is organized into several tabs, each containing a specific type of information.


User profile summary

On the left side of the profile, a summary panel displays the user's main information.

From this panel, you can quickly:

  1. Generate a new password for the user

  2. Add a note

  3. Send an email to the user

  4. Delete the user

Info tab

This tab contains the user's general information.

The Edit button allows you to update the user's main information, such as their contact details.

For all users

You can also:

  1. Manually generate a password (if the user has access to a member or affiliate space).

  2. Manage email notifications.

  3. Edit additional information, such as the user's phone number, social media links, profile avatar, and more.

  4. View and edit custom fields collected through your forms.

For administrators and coaches

Additional sections are available.

1. Administrator configuration settings

You can:

  • Change the user's administrator role.

  • Allow or restrict access to sensitive information, such as Learnybox subscriptions and invoices, payment methods, API keys, etc.

  • Choose whether to display certain important information, such as the total transaction amount.

2. Coach settings

You can:

  • Configure the coach's settings, including their cost and the courses they can access.

  • Configure their access to members. When the relevant option is enabled, the coach cannot create, edit, or delete members. They also cannot view members' personal information, such as their email address, postal address, transactions, etc.

Activity tab

This tab displays a history of the user's activity.

You can view:

  • Their progress in courses

  • Their sequence enrollments

  • Tag assignments

  • Other key activity events recorded on their account

Emails tab

The Emails tab centralizes the user's email information, including their email status, sequences, tags, and email history.

From this tab, you can:

  • View the user's email status

  • View the date and time the user was registered in your contact database

  • View the registration source (page the user signed up from)

  • View and manage the sequences they are enrolled in

  • View and manage their tags

  • View the emails sent to the user, including their subject, send date, and open date

Courses tab

This tab allows you to manage all of the user's courses.

You can:

  1. View the courses they are enrolled in

  2. Check whether their access to each course is active or inactive

  3. View their progress in each course

  4. Modify their access to courses

  5. Reset their progress and coaching requests

  6. Log in as the member

  7. View their coaching requests

  8. View their badges (and award badges manually if needed)

  9. View their certificates

  10. Access the documents available to them

Transactions tab

This tab brings together all information related to the user's purchases.

You can view:

  • Their lifetime value

  • Their transaction history

  • Their unpaid transactions

  • Their subscriptions

Affiliation tab

If the user is an affiliate, this tab displays information related to their affiliate activity, including:

  • Their commissions

  • Their clicks

  • Their affiliate links

It also serves as an affiliate management panel. You can:

  • Edit the affiliate's information

  • Create a commission payment record for the affiliate

  • Log in as the affiliate

Questionnaires tab

This tab brings together the user's responses to the questionnaires available in your account.

You can view:

  • Surveys they've participated in

  • Quizzes they've participated in

  • Evaluations they've participated in

  • Their final quiz or evaluation scores

  • Their questionnaire answers

Webinars tab

This tab displays the live webinars and automated webinars the user has signed up for, and participated in.

You can also manage their webinar registrations and quickly register the user for one or more live or automated webinars.

Customer Relations tab

This tab centralizes your interactions with the user.

You can view:

  • Their messages

  • Their support tickets

By understanding the different tabs in a user profile, you can quickly find the information you need and manage the account of any type of user from a single interface.
