How to create custom CRM segments

Learn how to create custom CRM segments to quickly filter your user database using saved filtering criteria.


This article explains how to create your own custom CRM segments by saving a combination of filters.

Use custom segments to quickly apply the same filtering criteria to your user database without having to manually configure multiple filters each time.


Segments allow you to quickly filter and view specific subsets of users in your CRM.

The default segment is All users, which displays your full user database.

You can also use predefined segments to view only:

  • Course members

  • Users registered in your LearnyMail contact list

  • Customers

In addition to these predefined options, you can create your own custom segments by saving the filters you want to reuse.

Step 1 - Apply your desired filters

  1. From the CRM, apply all the filters you want to include in your custom segment.

Example

Suppose customers can purchase your course through several different sales journeys. One of these is a sales funnel where visitors first sign up with their name and email address to access a free workshop.

When someone signs up for the workshop, they are automatically enrolled in the Leads Workshop gift 1 sequence. If they later purchase the course, they are assigned the Customer 1 tag.

To identify customers who purchased the course after entering through this specific workshop funnel, you could apply these two filters:

  • The user has a tag → One of these tags (OR) → Customer 1

  • The user is in the sequence → One of these sequences (OR) → Leads Workshop gift 1

Because the filters are combined using AND logic, the results include only users who meet both conditions: they signed up for the free workshop and also purchased the course.

You can then save these filters as a custom segment so you can quickly view this specific group again without having to configure the filters each time.

This is a simple example using two filters. Depending on your needs, you can combine a wider range of filtering options to create more specific and targeted segments.

Step 2 - Save your custom segment

  1. Once you have applied all the filters you want to include, click Create segment.

  2. Enter a name for your segment.

  3. Click Confirm to save it.

Apply your custom segment

Once your custom segment has been created, you can use it whenever you access your CRM to automatically apply the saved filtering criteria.

Click Segments to display the available segments, then select your custom segment from the list.


Its saved filters are automatically applied to your user list.
