How do tag and sequence search filters work?

Learn how to filter your user database and find users easily based on tag or sequence criteria.


This article explains how to use CRM filters to find users based on the tags assigned to them or the sequences they belong to.

You can use tag and sequence filters separately or combine them to perform a more specific search.


Access CRM filters

To display the available filters:

  1. Access the CRM

  2. Click Filters

1. Filter users by tags

Tag filters allow you to find users based on whether specific tags are present or absent from their profiles.

The following criteria are available:

The user has a tag

This filter displays users who have one or more specified tags.

Two conditions are available:

  • One of these tags: The user appears in the results when they have at least one of the selected tags (OR condition).

  • All these tags: The user appears only when they have every selected tag (AND condition).

Example:

You want to find users who have the Premium customer or Course completed tag.

With One of these tags, users who have either tag will be displayed.

With All these tags, only users who have both tags will be displayed.

The user does not have a tag

This filter excludes users based on the tags assigned to them.

The same two conditions are available:

  • One of these tags: The user must not have any of the selected tags (OR condition).

  • All these tags: The user is excluded only when they have all the selected tags (AND condition).

Date the tag was added

This filter allows you to find users according to the date on which a tag was added to their profile. The same two conditions are available:

  • One of these tags: The user appears in the results when they have at least one of the selected tags (OR condition).

  • All these tags: The user appears only when they have every selected tag (AND condition).

You can then select one of the following date criteria:

  • Before: The selected tag or tags were added to the user before a specific date.

  • After: The selected tag or tags were added to the user after a specific date.

  • Custom: The selected tag or tags were added to the user during a specific period, between two selected dates.

The user has no tags

This filter only displays users who do not have any tags.

2. Filter users by sequences

Sequence filters allow you to find users based on whether they belong to a particular sequence.

The most commonly applied criteria:

The user is in the sequence

This filter displays users who belong to one or more sequences.

Two conditions are available:

  • One of these sequences: The user appears in the results when they belong to at least one of the selected sequences (OR condition).

  • All these sequences: The user appears only when they belong to every selected sequence (AND condition).

The user is not in the sequence

This filter excludes users based on the sequences they belong to.

Two conditions are available:

  • One of these sequences: The user must not belong to any of the selected sequences (OR condition).

  • All these sequences: The user is excluded only when they belong to all the selected sequences (AND condition).

Date the user was added to a sequence

This filter allows you to find users according to the date on which they were added to a sequence.

The same two conditions are available:

  • One of these sequences: The user appears in the results when they belong to at least one of the selected sequences (OR condition).

  • All these sequences: The user appears only when they belong to every selected sequence (AND condition).

You can then select one of the following date criteria:

  • Before: The user was added to the selected sequence or sequences before a specific date.

  • After: The user was added to the selected sequence or sequences after a specific date.

  • Custom: The user was added to the selected sequence or sequences during a specific period, between two selected dates.

The user is not in any sequence

This filter only displays users who do not belong to any sequence.

3. Combine tag and sequence filters

When you use tag and sequence filters together, users must meet all the applied conditions to appear in the results.

Example:

You want to only display users who:

  • have tag X

  • belong to sequence Y

The results will include only users who meet both conditions:

  • ✅ The user has tag X

  • ✅ The user belongs to sequence Y

The following users will not appear:

  • ❌ The user has tag X but does not belong to sequence Y

  • ❌ The user belongs to sequence Y but does not have tag X

The search therefore works by finding the users who match the combination of all selected criteria.

Example:

What happens after you apply the filters?

After selecting your criteria, click View results

The CRM will display only users who meet all the conditions you have defined.

When no users appear, check that the selected conditions can all be met at the same time.

Can I use only a tag filter or only a sequence filter?

Yes. You can perform a search using only tag-related filters or only sequence-related filters.

What does the OR condition mean within a filter?

The OR condition displays users who match at least one of the selected items.

What does the AND condition mean within a filter?

The AND condition displays only users who match all the selected items.

Why does a user with the correct tag not appear in my search?

When you have also added a sequence filter, the user must meet that additional condition to appear in the results.
